Funding and Finance Evidence Review

Sixty minutes with the numbers, and a written list of the five things most likely to cost you funding.

Today a funder asks where their money went, and you go looking through bank statements.

That search takes a week you did not have, and the answer still arrives with gaps the board has to explain.

Already sure? Begin the review

Or read on to see how it works.

What happens between a funder’s question and your answer, right now

  1. Award lands in bank
  2. Spend runs through one account
  3. Restricted money loses its label
  4. Claim deadline arrives
  5. Someone rebuilds it from statements
  6. Evidence goes in late

None of that is carelessness, but it is work done far too late to be useful.

Funders and boards are asking for bookkeeping-level evidence of where money went. A reconstructed answer takes longer to produce and reads worse than a register kept monthly.

Five questions a funder can ask that your records cannot answer

These arrive in funder emails, monitoring visits and board meetings, usually without warning.

  • Which award paid for that salary last March?
  • How much restricted money is still unspent today?
  • Can you evidence this claim before the deadline?
  • Does the board pack match the funding register?
  • Which contract is the core budget quietly subsidising?

That makes everything downstream harder.

What the review settles, and what you hold at the end of it

Same day. From live numbers. With the reasoning.

We work through your actual records in the hour, rather than a questionnaire about them.

  1. 5things to fix first
  2. Funding flow traced
  3. Restricted funds made visible
  4. Claims timetable agreed
  5. Answer the funder same week

You leave knowing what to fix, in what order, and which claim or report each one is holding up.

What the ninety days after the review actually change

If you go ahead, the work runs to a fixed shape and a set of dates.

  1. Before day one

    Scope agreed, records collected

We agree the scope, complete the AML checks and collect the records, and we manage the handover from your current accountant at no separate charge.

  2. Day 30

    Every award reconciled to spend

Bookkeeping complete, banks reconciled, and each funding stream matched line by line against the money received.

  3. Day 60

Claims and board pack on dates

Routines for bills, payroll, claims and reporting, so the board pack lands before the meeting rather than after it.

  4. Day 90

Funder questions answered from the register

A funding register updated monthly, so an evidence request becomes a lookup rather than an investigation.

The review costs a fixed fee, credited in full if you proceed

Sixty minutes with Gavin, on your own records. We trace the funding flow, so you can say which award paid for which cost. We look at restricted funds, so you can state what is still unspent.

Then the list. Five things, in the order they are most likely to cost you funding.

You leave with an evidence checklist, the gaps in your board reporting written down, a claims and reporting timetable, and priority actions for the next ninety days. That is yours whether or not you go further.

New capacity is capped at four clients a month, and the handover from your current accountant or bookkeeper is managed at no separate charge.

Who the review helps, and who should not book it

The review only earns its place if the organisation needs finance work every month.

Book the review if

  • You are a registered CIC, charity or community organisation with grant or contract income.
  • You need the finance function run monthly, rather than a single tidy-up.
  • A monthly fee sits within the budget, and most organisations we work with pay well above the floor.
  • Your funders or board ask for evidence you currently have to go away and build.
  • Someone senior is doing the finance admin alongside running the organisation.

Leave it if

  • You want a one-off clean-up with nothing ongoing afterwards.
  • A recurring monthly finance fee is not in the budget this year.
  • Your income comes mainly in cash.
  • You cannot explain how the organisation runs or what you actually need from us.
  • You will not complete AML checks, or the work would cross a line we do not cross.
See if it fits

Two minutes. If it fits, you’ll book the review with Gavin.

Where the answer comes from when the next funder question arrives

  • Trace every award’s spend
  • Show restricted money clearly
  • Keep the evidence ready
  • Hold the claims timetable

We run the finance function underneath all of that, so the answer is a lookup rather than a week of work.
