Accountants in Liverpool: what it costs a Merseyside business to answer the next decision six months late
Owners who can answer take the decision in an afternoon. Owners who cannot wait for the year-end accounts, by which point the second van, the cheaper supplier or the new hire has already been paid for. Ardein runs the finance function behind the answer, remotely, from a North West base.
Three things you would know before you signed
Sign off the purchase with the payback in front of you
The cost of the van, the fit-out or the second unit sits against the cash and margin it has to produce.
Know which customer, contract or job carries the margin
Income and cost are coded the same way every month, so last month and this month can actually be compared.
Answer the funder in the same week they ask
Restricted money is tracked against each award as it is spent, rather than reconstructed from bank statements afterwards.
The decisions that cost more than they should have, and what was missing at the time
Three things owners and chief executives in Liverpool have said in a first conversation with us.
- Hire
“We took on two more people in the spring because the bank balance looked healthy. By August I was funding wages from the overdraft.”
The balance held VAT and a customer deposit that were never ours. Nobody had set the wage cost against the work actually booked.
- Supplier
“We switched to a cheaper supplier on the unit price. Nobody totalled the delivery charges, the short orders and the waste until year end.”
The switch cost more than the price it replaced. The purchase ledger ran months behind, so the real total never surfaced while it could still be reversed.
- Funder
“The funder asked how last year’s award had been spent. It took three weeks and two evenings of the chief executive’s time to answer.”
Salaries had never been split across awards as they were paid. The evidence had to be rebuilt line by line from the bank.
- Day 90
What it looks like when the answer is in the room
By day ninety the books are complete and reconciled to the same date every month. You ask what the second unit would cost you and the answer comes back that afternoon, with the workings. The board pack and the funding register arrive before the meeting rather than after it. Nothing is being reconstructed, because nothing was left undone.
What a year-end accountant is for, and what it leaves you deciding on your own
Both jobs matter. They answer different questions, at different speeds, months apart.
The year-end accountant
Files accurate accounts and a corporation tax return, usually well after the year has closed.
Tells you what the business did, once the year is finished and settled.
Is the right person for the statutory filing, and does that part properly.
Is rarely close enough to the month to say whether you can afford the hire in March.
A finance function that answers in the week
Books kept complete and reconciled to a date you both agreed.
Monthly figures on cash, debtors, creditors and margin while the month still matters.
A same-day answer on the purchase, the price rise or the award, with the reasoning shown.
Year end becomes a confirmation of numbers you have already been using.
Eight questions you should be able to answer before Friday
Work down the list and mark each one yes or no as it stands today.
- 01
Can you say which customer or contract made you the most money last month?
Yes if income and cost are coded consistently every month.
- 02
Do you know what the next hire costs you in cash before the first pay run?
Yes if wage cost is set against booked work, not the bank balance.
- 03
Could you price a large job this week with last month’s margin in front of you?
Yes if the month closed on a date rather than eventually.
- 04
Do you know what you owe suppliers and what customers owe you, today?
Yes if the ledgers are reconciled rather than estimated.
- 05
Is your corporation tax figure visible long before the money is due?
Yes if the tax is built from the monthly numbers.
- 06
Could you show a funder what their award paid for without rebuilding it?
Yes if restricted money is tracked as it is spent.
- 07
Does your board or your bank get figures before the meeting rather than after it?
Yes if reporting runs to an agreed date each month.
- 08
Would a price rise be decided from numbers rather than instinct?
Yes if you can see margin by product, job or contract.
Three questions to put to your accountant in Liverpool this week, before the next decision costs you something. If the answers take a fortnight, you have the wrong accountant
- 01Could they tell you by Friday whether a new hire pays for itself by month four?
- 02Could they show you which contract or customer carried your margin last month?
- 03Could they produce the evidence behind a funder’s question about last quarter’s spend without asking you to dig?
Three yeses and you’re fine. Anything else is what the review is for.
Entry 01
What moving accountant actually involves, and who does that work
Most owners stay with the wrong arrangement because switching looks like a job they have no time for.
Figures as recorded in client work · names withheld

What changes each month, and what you can decide by the end of it
Ninety days from the first records to a finance routine you can put a decision through.
You know exactly what moving will involve
Scope agreed, due diligence and anti-money-laundering checks completed, and the handover from your current accountant or bookkeeper run by us.
The records finally tell you the truth about cash
Bookkeeping complete, banks reconciled, debtor and creditor balances that make sense, and any historic gaps named rather than carried forward.
Decisions have a routine standing behind them
Bookkeeping, supplier bills, credit control, payroll and reporting run to fixed dates, with checks in place and duplicated work removed.
The answer arrives before the decision does
Monthly management information on cash, margin and commitments, delivered on the agreed date, so the purchase, hire or claim is decided with the number present.
What we run for Liverpool clients, and what it lets you decide
One finance function, delivered remotely, covering the routine work and the reporting built on top of it.
Management information you can decide from
Cash, debtors, creditors and performance reported on the agreed date, while there is still time to change the outcome.
Bookkeeping, VAT, payroll and year end kept to the timetable
Records complete and reconciled first, then returns, pay runs, auto-enrolment duties, accounts and corporation tax that all reconcile back to them.
A finance lead for the decisions that carry risk
Virtual CFO and FD input on hiring, funding, pricing and margin, including funding registers and board packs for grant-funded organisations.
Where we are not the right answer, said plainly
We do not take on cash businesses.
Construction work that depends on CIS is not something we take on.
We walk away from anything illegal or reportable, from falsified VAT records, and from anyone who will not complete anti-money-laundering checks.
The relationship does not work when an owner cannot explain their own business or say what they actually need.
If you are not sure which side of those lines you sit on, the review is the quickest way to find out.
The questions Liverpool owners ask before they move
Is the review just a sales call?
No. It is a worked review of how your finance runs now, what is missing, and the five things worth fixing first. It carries a fixed review fee, credited in full against onboarding if you go ahead.
We already have an accountant in Liverpool. Does this still apply?
Most of our clients did. They had a year-end filing and nothing month by month. If your accountant answers the year and you need someone who answers the week, that is the gap we fill.
What happens with our current accountant or bookkeeper?
We handle it. Professional clearance, collecting the records, and a transition plan agreed around your year end, with no separate charge for the handover.
What are we committing to?
A monthly fee scoped to the work, agreed only after we have seen the records and understood how the business runs. Nothing is quoted before that.
Do you have an office in Liverpool?
No. Ardein works remotely from a North West base in Chester, with clients across Merseyside, Greater Manchester and the rest of the UK. Calls, screen shares and site visits by arrangement do the work an office used to.
Make the next Liverpool decision with the number already in the room
Capacity is capped at four new clients a month, so the list stays short enough to answer properly. Start with the review and we will tell you what we find.
