Accountants in Cheshire

Most Cheshire businesses find out what a decision cost them about six months after they made it.

Owners who can get an answer in an afternoon sign the purchase, raise the price, take the contract. Owners who can’t wait for the year-end accounts and read the verdict afterwards. Ardein runs the finance function for Cheshire businesses and grant-funded organisations, remotely, so the number is there when the decision is.

Three things you’d know before you signed anything

Sign the purchase with the payback in front of you

The bank is reconciled every week, so the cash position is this morning’s, not last quarter’s.

Know which job or customer is carrying the margin

Monthly management accounts break performance down by line, so the pricing decision stops being a feeling.

Answer a funder in the week they ask

Restricted money is tracked against each award as it moves, so the evidence is already assembled.

The decisions that go wrong quietly, and what they cost

None of these look like an accounting problem at the time. They look like ordinary judgement calls.

  • Purchase

“We bought the second van in March. By October I could see it had barely covered its own finance and fuel.”

The figure that would have shown it was sitting in the records all along. It surfaced with the year-end accounts, eleven months after the order went in.

  • Hire

“I put off hiring for most of a year because I could not tell whether the cash would stand another salary.”

Two contracts went elsewhere in the meantime. The cash would have stood it, on the debtor and creditor figures we reconciled later.

  • Funder

“The funder asked how last year’s award had actually been spent, and it took us three weeks to put an answer together.”

Three weeks of a chief executive’s time on money already received and already spent. The spend was there, just never tracked against the award.

  • Day 90

What it looks like when the answer is in the room

By day ninety the bookkeeping is complete and the banks are reconciled, so the monthly figures land on the agreed date. You ask on the Monday whether the price rise can wait a quarter, and you have margin by line that afternoon. A funder asks where the grant went and the register answers it without anyone rebuilding a year. Nothing important waits for the year end any more.

What a year-end accountant covers, and what nobody is covering

Most businesses we meet in Cheshire already have an accountant. The gap is rarely the filing. It is the eleven months in between.

A year-end accountant

Files the statutory accounts and the corporation tax return correctly and on time.

Answers questions about last year, once last year has been closed off.

Sees the business once, usually months after the decisions were taken.

Does a real job, and does it for compliance rather than for decisions.

A finance function that runs monthly

Records kept complete week by week, so this month’s figures mean something.

Management accounts on the agreed date, covering cash, debtors, creditors and performance.

A same-day answer on the hire, the purchase or the price rise, with the reasoning shown.

Year end becomes a confirmation of records you have already been reading all year.

Eight questions your own figures should already answer

Answer these as you would in a meeting, without opening anything.

  • 01

Could you say which customer or contract made you the most money last quarter?

If that is a feeling rather than a figure, pricing is being decided blind.

  • 02

Do you know today’s cash position, rather than the last time you looked?

Reconciled records make the cash figure current instead of approximate.

  • 03

Could you work out the payback on equipment before the quote expires?

Payback needs the margin the asset actually earns, not the price on the invoice.

  • 04

Do you know how much of your sales ledger is over sixty days?

Debtor ageing is the first thing to go when bookkeeping slips behind.

  • 05

Can you see the corporation tax building up before the demand arrives?

It is visible monthly once the records are kept to a routine.

  • 06

Could you show a funder where one award was spent, line by line?

Funders are asking for this more often, and a register answers it in minutes.

  • 07

Do you know whether the last price rise reached the margin?

Price rises get absorbed by cost increases nobody measured at the time.

  • 08

Do your management figures arrive on the same day each month?

A date you can plan a board or management meeting around is the point of the exercise.

Ask the accountant you already use in Cheshire three questions this week. If any answer needs a month, or the year-end accounts, or a promise to look into it, you have the wrong accountant.

  1. 01Could they tell you today what your gross margin was last month, by job or by product?
  2. 02Could they tell you this week whether the next hire is affordable, and for how long?
  3. 03Could they show where one specific award or contract’s money went, without a fortnight’s notice?

Three yeses and you’re fine. Anything else is what the review is for.

The switch is the part most owners dread. Who actually does it?

Staying put because moving looks like work is a decision too, and it has a cost.

What changes in Cheshire businesses by day ninety

The timetable is the same whether you are in Chester, Crewe or Macclesfield, because the work is done remotely.

Before day one

You know what moving involves before you commit to it

Scope agreed, AML checks completed, and your current accountant dealt with by us rather than by you.

Day 30

This month’s records tell you the truth about this month

Bookkeeping complete, banks reconciled, and debtor and creditor balances that make sense.

Day 60

The routine holds without you chasing anyone

Supplier bills, credit control, payroll and reporting run to a timetable, with checks in place.

Day 90

Decisions get made with the number already in front of you

Management information on the agreed date, covering cash, debtors, creditors and performance.

What Ardein runs each month, and what it lets you decide

Everything is delivered remotely to clients across Chester, Warrington, Crewe, Macclesfield and the rest of Cheshire.

Purchase

Records kept right, then reporting built on them

Bookkeeping, VAT, bank reconciliation and supplier balances kept to a routine, so the cash and margin figures behind a purchase are current.

Hire

Monthly management information and a finance lead to read it with

Management accounts on the agreed date, plus virtual CFO and FD input for the hiring, pricing and funding calls that carry real money.

Funder

Payroll, year end and evidence a board or funder can follow

Payroll and auto-enrolment, year-end accounts and corporation tax, with fund tracking and board packs for CICs and charities.

Where this does not work, before either of us spends the time

We do not take on cash businesses, whatever the turnover.

Construction work that depends heavily on CIS is not a fit for this practice.

We walk away from anything illegal or reportable, including falsified VAT records, and from clients who will not complete AML checks.

The relationship does not work when an owner cannot explain their own business or say what they actually need.

If you are not sure which side of that you fall on, the review will tell you in an hour.

The questions Cheshire owners ask before they move

Is the review just a sales call?

No. It is a worked review of how your finance runs now, what it cannot tell you, and the five things to fix first. It carries a fixed review fee, credited in full against onboarding if you go ahead.

We already have an accountant. Why would we need this?

Most of our clients did. The accountant files the year end correctly; nobody is producing the monthly numbers that decide a hire, a purchase or a price rise while there is still time to act.

What happens with our current accountant?

Ardein handles it. We request professional clearance, collect the records, coordinate with them directly and agree a transition plan around your year end. There is no separate charge for the handover.

How long are we committing to?

The work is scoped monthly, agreed once we have seen the records and understood how the business runs. We cap new capacity at four clients a month, so the fit matters more to us than the volume.

Do you have an office in Cheshire?

Ardein is based in Chester and works remotely across the UK. There is no branch to visit, and no drive to one either. Calls, video and shared systems mean clients in Crewe and clients in Cardiff get the same response times.

Make the next decision with the number already in the room

Start with the review. It shows you what your finance can and cannot answer today, and what it would take to close that gap in ninety days.
